Install the Outlook add-in (Microsoft 365)

The MailManagers Auto Signature Outlook add-in automatically appends your MailManagers signature to every new email, reply and forward in Outlook desktop (Windows + Mac) and Outlook on the web. No more copy-paste, no more forgotten signature on replies.

How it differs from the browser extension: the Outlook add-in works directly inside Outlook desktop — no browser needed. Ideal for classic offices where Outlook desktop is the default mail client.

Install

  1. Open Outlook (desktop or web) and sign in with your Microsoft 365 account.
  2. Open a new email → in the ribbon click "Get Add-ins".
  3. Search the Microsoft Marketplace for "MailManagers" or "Auto Signature".
  4. Click Add → confirm the permissions.
  5. (Recommended) Turn off your existing Outlook default signature to avoid getting a duplicate signature:
  6. - Outlook desktop Windows: File → Options → Mail → Signatures → set "New messages" and "Replies/forwards" both to (none). - Outlook for Mac: Outlook → Preferences → Signatures → disable. - Outlook on the web: Settings → Mail → Compose and reply → clear or disable signature.

First use

  1. Open a new email in Outlook.
  2. In the ribbon click MailManagers → Insert signature to open the taskpane.
  3. One-time: Microsoft 365 asks for consent to sign you in to MailManagers with your M365 account. Click Allow.
  4. We automatically link your M365 email address with your MailManagers account.
  5. Close the taskpane.

From now on: every new email, reply and forward automatically gets your MailManagers signature — without any action from you.

SSO and privacy

The add-in uses Microsoft 365 Single Sign-On: no separate password, no extra login. We only fetch your email address (via Microsoft Graph) to link your MailManagers account. We don't read email content, contacts or calendar. See our Outlook add-in privacy policy for full details.

Account linking

The add-in matches on email address:

  • Your M365 account = jane@company.com
  • Your MailManagers account = jane@company.com

→ ✅ Automatic match. One-time consent, then everything silent.

What if your M365 address differs from your MailManagers address? The add-in shows an "Account not found" screen with a link to first register on MailManagers with your M365 address.

Banner rotation

Have a banner group linked to your active signature? The add-in fetches the currently scheduled banner on every new email — exactly as designed in MailManagers.

Known limitations

  • Requires Outlook Mailbox API 1.13 or newer. Outlook desktop on Windows: Office 365 2019+ or M365 Apps. Outlook for Mac: version 16.x or newer.
  • Not for classic Outlook 2016 or older — they don't support LaunchEvent. Use the Chrome/Edge browser extension if you use webmail, or Install / copy an HTML signature.
  • Outlook mobile (iOS/Android) doesn't support LaunchEvent (Microsoft limitation). Auto-injection won't work there — use the native Outlook signature with our HTML export.
  • Apple Mail is not a Microsoft product — a separate Apple Mail Mail extension is on our roadmap.

Remove

  1. Open Outlook (desktop or web) → ribbon "Get Add-ins".
  2. Tab "My add-ins" → MailManagers Auto Signature → Remove.

Your MailManagers signature no longer appears in Outlook. Your MailManagers account stays (you can always reinstall).
