How seats work, deactivating and reactivating members, and what happens on plan changes.
Manage seats and members
As an organization admin, you control who's active in your team and how many seats you need.
How many seats do you have?
Your current seats are always visible below your email in the sidebar (e.g. "5/7 seats"). Hover that text for the breakdown: paid seats + bonus (free) seats.
The organization page also shows a seat overview next to "Members".
Deactivate a member
Want to temporarily revoke access without fully removing someone?
- Go to Organization โ click your organization
- Click Deactivate next to the member
- Confirm
What happens:
- The member gets a notification email
- They keep 14 days of access to their signature in their mail client (so their in-flight emails don't suddenly have an empty footer)
- They lose access to all organization features
- The seat is freed for a new member
Reactivate a member
Click Reactivate next to a deactivated member. As long as there's a free seat, they regain full access immediately.
Downgrade plan with more members than seats
Dropping your plan from e.g. 7 to 3 seats? No problem โ MailManagers automatically deactivates the most recently joined members (LIFO) to bring you within the new cap. Owner and admins always stay active.
Example: 1 owner + 6 members, you switch to 3 seats โ the 4 newest members get deactivated. The 2 oldest members + the owner stay active.
Upgrade plan
When you upgrade back up, deactivated members are not automatically reactivated. On the organization page you'll see a green "Reactivate all X deactivated members" button (provided there are enough free seats).
Cancel subscription
Cancel your subscription entirely and all non-owner members get deactivated. When you reactivate, you choose again who's allowed back in.
Re-invite a former member
Sending a new invite to someone who was previously deactivated? MailManagers detects this and reactivates them directly โ no new invite email, no lost history.
