Install signature on smartphone (iPhone / Android)

Scan a QR code on your desktop, choose your mail app on your phone, and paste your signature with one tap.

Install signature on smartphone

Many users also want their MailManagers signature on their phone. With the QR-code flow we send your signed install link securely from desktop to mobile, and you can paste it in your mail app โ€” no files, no login.

How it works

  1. Open your signature in Signatures โ†’ pick your signature.
  2. Click Install on smartphone in the right sidebar.
  3. A QR code appears (valid for 15 minutes).
  4. Open the camera app on your phone and aim at the QR code โ†’ tap the notification.
  5. Your phone opens a MailManagers page with a big "Copy signature" button. Tap it.
  6. Open your mail app and follow the on-screen steps for your app.

Per app

Apple Mail (iPhone / iPad)

  1. Tap Copy signature on the mobile page.
  2. Settings โ†’ Apps โ†’ Mail โ†’ Signature.
  3. Choose Per Account and tap the text field under your account.
  4. Long-press โ†’ Paste โ†’ Paste and Match Style (otherwise you lose formatting and images).
  5. Test by opening a new email.

Gmail app

The Gmail mobile app only supports plain-text signatures โ€” no images, no formatting. For the full signature on your phone, two options:

  • Option A โ€” Set the signature on desktop: in mail.google.com โ†’ gear โ†’ "See all settings" โ†’ Signature โ†’ paste โ†’ save. The Gmail app on your phone automatically uses the same signature when composing via webview.
  • Option B โ€” Use the mobile browser: open mail.google.com in Safari/Chrome on your phone and tap "Desktop site". From there you can paste a full signature and save it just like on a PC.

Outlook app (iOS / Android)

  1. Tap Copy signature.
  2. Outlook app โ†’ profile picture top-left โ†’ gear โ†’ choose your account โ†’ Signature.
  3. Paste and save.
  4. Important: Outlook mobile does not support images in signatures. You'll see a textual version of your signature. For the full formatted version: use Outlook desktop or webmail.

Tip: set up a simpler "Mobile" signature (without images) for on-the-go, and keep the full version for desktop.

Set up a mobile version (recommended)

By default, the signature installed on your phone is the same as on desktop. But you can set up a separate mobile version โ€” so your phone gets a more compact signature, or one without a large banner.

Personal mobile version (star)

  1. Go to Signatures.
  2. Use the โ‹ฏ menu to make a Copy of your main signature (or create a new one).
  3. Give the copy a recognisable name (e.g. "Tom โ€” mobile") and adjust as needed.
  4. Open the โ‹ฏ menu again โ†’ click โ˜… Mark as mobile version. The signature gets a yellow "MOBILE VERSION" badge.
  5. On QR install, this mobile version is now automatically installed, regardless of which signature you open.

Tip: click the โœ• inside the badge to quickly remove the marking.

Hide banner on mobile

Want the banner only on desktop, not on mobile?

  1. Open your banner via Banners โ†’ pick banner.
  2. Turn on the "Hide on mobile" toggle.
  3. On QR install the banner is automatically skipped โ€” the signature itself stays fully visible.

Mobile-version banner image (NEW)

Want a separate banner image for narrow screens โ€” for example a compact variant with larger text? Upload one:

  1. Open your banner via Banners โ†’ pick banner.
  2. Under "Hide on mobile" appears "Mobile-version image (optional)".
  3. Click "Click to upload mobile image" or use "Copy desktop image" as a shortcut.
  4. Recommended format: 360ร—120px PNG/JPG.

When sending, recipients automatically see the right version:

  • On phone (screen < 480px): mobile image
  • On desktop: regular banner

Works in: Apple Mail (Mac + iOS), Gmail (web + app), Outlook web, Outlook Mac, Yahoo, Thunderbird.

Does not work in: Outlook desktop Windows โ€” always shows the desktop version (Word render engine doesn't support CSS media queries โ€” well-known email industry limitation).

Mobile version in Drag & Drop banner

Using Drag & Drop mode? You can build a separate mobile version with individual blocks:

  1. Open your banner โ†’ choose Drag & Drop.
  2. At the top of the builder you'll see two tabs: ๐Ÿ–ฅ๏ธ Desktop and ๐Ÿ“ฑ Mobile.
  3. Click Mobile โ†’ empty canvas appears.
  4. Click "Copy desktop blocks" as a starting point โ†’ then adjust (shorter text, smaller button, different imageโ€ฆ).
  5. Save. Mobile blocks are stored, and in the banner list a green dot appears next to "Mobile" when a mobile version exists.

Recipients automatically see the right version:

  • On phone (narrow screen): mobile blocks
  • On desktop: regular banner

Works in: Apple Mail, Gmail (web + app), Outlook web, Outlook Mac, Yahoo, Thunderbird. Outlook Desktop Windows falls back to the desktop version (known Word engine limitation).

For organisations: mobile template

Are you an organisation admin? You can set up a mobile template that applies to all team members:

  1. Go to Organisation โ†’ pick a template.
  2. At the bottom you'll see a blue "Quick action: create a mobile version" card.
  3. Click Copy as mobile version โ†’ a copy is created and marked as mobile template automatically.
  4. Adjust the mobile template as needed (hide banner, shorter disclaimer, etc.).
  5. On QR install, each team member automatically gets a signature based on this mobile template โ€” with their own contact details.

Each organisation can have only one mobile template. Only org-admin/owner can set this mark.

Security

  • The QR code contains a signed token valid for 15 minutes.
  • The token is tied to your account and to this specific signature โ€” nobody else can use it.
  • No login is needed on the phone: the token does authentication.
  • Code expired before you were ready? Click Generate new code in the modal.

Per user, not per organization

In an organization, each member has their own signature. Everyone therefore scans the QR code from their own signature page โ€” not the admin's. That way every user gets their own name, role and contact info correctly on their phone.

Common mistakes

  • "The QR code stopped working" โ€” codes expire after 15 minutes. Click Generate new code.
  • "Pasted text has no formatting in Apple Mail" โ€” use Paste and Match Style (not plain Paste).
  • "In the Gmail app I only see text, no images" โ€” that's a Gmail limitation. Set the signature via mail.google.com on desktop.
  • "In the Outlook app I see no logo" โ€” Outlook mobile does not support images in signatures. Use the desktop or web version for visual signatures.
