Install your signature in Apple Mail (macOS)

Your MailManagers signature works seamlessly in Apple Mail on macOS via a simple copy-and-paste flow. No extension, no plug-in โ€” just set it up once and you're done.

Fastest way (30 seconds)

  1. Go to Signatures and open the signature you want to use.
  2. Click Install / Copy โ†’ tab Apple Mail.
  3. Click the Copy signature button. You'll see a green confirmation "Copied!".
  4. Open Apple Mail โ†’ menu Mail โ†’ Settings (or Preferences on older macOS) โ†’ tab Signatures.
  5. Select the mail account in the left column, click + to create a new signature (or select an existing one).
  6. Very important: turn "Match default message font" OFF โ€” otherwise your signature loses fonts, colors and banner images.
  7. Click in the right signature box and paste with Cmd+V.
  8. Drag the signature to the correct mail account in the left column if needed.

Done โ€” from now on your MailManagers signature is automatically added to every new email in Apple Mail.

Why turn "Match default message font" off?

Otherwise Apple Mail replaces all fonts in your signature with the system default. Result: your banner image stays but the nice typography disappears. With this option off, your MailManagers design is preserved 1:1.

Default signature per account

Under the signature list you can choose per mail account which signature is used by default for new emails, replies and forwards. Tip: use the same one for "New messages" and "Replies/Forwards" for consistency.

Banner rotation

Apple Mail signatures are inserted statically at paste-time. That means banner rotation does not work automatically in Apple Mail โ€” the banner stays as it was when you copied.

Workaround: open your signature in MailManagers when you have banner rotation and repeat the install flow (Copy โ†’ replace in Apple Mail). Or use the Outlook add-in or browser extension for live banner rotation.

Banner or photo doesn't show

  • Paste with Cmd+V (not Cmd+Shift+V): the latter pastes "plain text only" โ€” you lose images and styling.
  • "Match default message font" off: otherwise Apple Mail strips styling.
  • Quit + relaunch Apple Mail after pasting to clear cache.

Fonts look slightly different

Apple Mail falls back to system fonts (San Francisco) for web-fonts not locally installed. That's a macOS behavior we can't influence. The banner, colors and layout stay intact.

Remove

Apple Mail โ†’ Mail โ†’ Settings โ†’ Signatures โ†’ select the MailManagers signature โ†’ click โˆ’ (minus) to remove.
